The four document categories
A QROPS transfer involves four document categories. Knowing which is which makes the process feel a lot less daunting:
- Personal identity and residency documents you provide.
- UK pension scheme details and statements.
- HMRC forms that you sign.
- Indian QROPS scheme onboarding pack.
Most NRIs already have categories 1 and 2 ready. Category 3 is signed digitally during the transfer. Category 4 is provided by the receiving Indian scheme and walked through by your specialist.
1. Personal identity and residency
- Photo ID. Passport is preferred — it's accepted by every UK provider and Indian scheme. A government-issued photo ID works as a backup.
- Proof of address. Recent utility bill, bank statement, or government correspondence (within the last three months).
- UK National Insurance number. If you can locate it, share it. If you can't, your specialist can help you trace it via HMRC.
- Indian residency proof (where applicable). PAN card, Aadhaar, or equivalent if you're tax-resident in India.
2. UK pension scheme details
- Most recent annual pension statement from each ceding UK provider.
- Provider name and policy / membership number.
- Scheme type if you know it (DC, DB, SIPP, occupational, personal). Don't worry if you don't — we identify it.
- Approximate current value — close enough is fine at the eligibility stage; we get a precise CETV later.
If you've lost your pension paperwork
Most NRIs returning to India have at least one "lost" UK pension. The UK Government's Pension Tracing Service can help you find it. Your specialist can also assist with traces using your NI number and former employer.
3. HMRC forms
The main HMRC form involved in a QROPS transfer is Form APSS 263 — the member's information about transfers to qualifying recognised overseas pension schemes. You sign it; we prepare it. Some ceding providers also require their own discharge forms; these are scheme-specific and provided by the UK side.
You don't need to source any HMRC forms yourself. Everything is prepared for you.
4. Indian QROPS scheme onboarding pack
- KYC verification (typically PAN + Aadhaar for Indian residents)
- Scheme application form
- Beneficiary nomination — names, dates of birth, percentage allocations
- Bank account details (NRE/NRO/SB depending on scheme and residency)
- Tax declarations (FATCA / CRS where applicable)
The receiving Indian scheme provides the actual onboarding pack — we walk you through it page by page during the transfer.
What if something is missing?
Don't let missing documents stall the conversation. Almost every gap can be filled:
- Lost UK pension statement? Your provider will issue a replacement on request, often within 10 working days.
- Missing NI number? Traceable via HMRC.
- No PAN? Apply or update before the Indian onboarding stage.
- Old utility bills? Bank statements work just as well.
